WHAT THE WEEK ACTUALLY LOOKED LIKE

Ministry side: advance planning before the main team landed, airport waves, housing, meals, school schedule, live flex when day-one attendance shifted.
Business side: weekly sales call from the DR, government vehicle orientations, cybersecurity compliance reviews, quote desk clearing AI-drafted RFQs.
Ops channel: WhatsApp was the only official channel. English and Spanish packets lived there.

I used this for the mission trip. I used the same loop for meeting notes and proposal speed at work.

01 Record: Otter, Zoom, or a phone memo. Capture the real conversation once. Stop rewriting from memory.
02 AI drafts: Feed the transcript to Claude with format rules, owners, logistics, and brand voice.
03 You approve: Fix facts. Cut fluff. Lock the plan. Nothing ships without you.
04 Share: Publish in English and the dialect your team actually uses. Same day.

HOW AI BUILT THE MISSION PLAN

No blank page. A dinner conversation became the operations packet.

Dinner on Otter. Food, transportation, lodging, sanitation, full summer schedule. Out loud.
Transcript into Claude. Branding rules attached. Schedule, logistics, clear expectations for every role.
Dialect, not textbook Spanish. I told Claude: Dominican Spanish Dominicans actually speak.
English + Spanish to WhatsApp the same night. Local leaders and the U.S. team got the same plan.

THE ACCOUNTABILITY RULE

I said this out loud before the trip.

No one can meet a standard they were never given.

Written down. Expectations live in a document, not in my head.
In their language. Both teams read the same plan the same day.
Sent before arrival. Nobody landed guessing what the week required.

AI did not create accountability. Clarity did. AI just got the clarity out the door in time.

GETTING PEOPLE THERE

From plan to boots on the ground.

Logistics layer: arrival waves, housing, meals, airport pickup, school-day rhythm, emergency rules.
WhatsApp as ops desk: one official channel for schedule, emergencies, and changes.
On-site update: once in country, record again, turn it into structured notes, update Spanish housing details.
Humans still do the work: AI does not pick people up. House leads and airport runs stayed human.

CAPTURE, ADJUST, KEEP MOVING

Presence still mattered. AI handled the paper trail.

Day one debrief recorded. Attendance came in lower because of local conditions. We captured it fresh.
Teacher feedback the next day. Real logistics notes became reusable truth, not hallway rumor.
Schedule changes hit WhatsApp fast. Base plan already existed, so updates were deltas, not rebuilds.

Do not ask AI to replace presence. Capture decisions after the huddle. Republish the same hour.

BUSINESS KEPT RUNNING

What still ran while we were in country.

Sales rhythm: weekly pipeline call from the Dominican Republic. Board review still happened.
Vehicle intel: government IT orientations attended remotely, with a teammate as backup recorder.
Compliance: cybersecurity docs reviewed and signed from the road.
Quote desk: AI drafts moved. Items needing my pricing judgment waited for me. That is healthy.

Working rule

AI may draft. AI may organize. AI may translate. AI does not send. AI does not overwrite. AI does not invent numbers.
