Lesson 01

HEY FAMILY

Today I was invited to a group of entrepreneurs. I recorded this for you.

Hey family. Today I was invited to a group of entrepreneurs. About nine of them. They meet once a month. All business owners. One of them heard me speak before and asked me to talk about AI. I talked to them for about an hour. I used AI to create the slides. I wish I had recorded it. The questions were good. There was a lot of interaction. I did not record it. So I recorded this for you. I am not going to give you the slides cold. Let me walk you through some of this. Then go through the slides yourself. They are packed. Then let's discuss this in the comments.

The point is not saying you are doing AI. The point is getting work done. You can 2x, 4x, 6x output with agents. I have digital assistants I use every day. To make that useful you have to connect AI to your information and to the platforms you already pay for, then let it prepare you to make decisions. I never let AI submit a proposal. I never let AI send an email. I review. I decide.

The point is not saying you are doing AI. The point is getting work done.

THREE HABITS

Give it your material. Connect it to what you already pay for. Let it prepare. Never let it decide.

Everything I showed that room sits on three habits. This is how I run Inspired. This is how the rest of the notes work.

Give it your material
Write one page about your business and hand it to AI every time. It stops guessing. It starts working from your facts, your voice, and your rules.

Connect it to what you already pay for
QuickBooks. Email. Calendar. Your CRM. AI reading live data does current work. AI working from memory does homework.

Let it prepare. Never let it decide.
Drafts, comparisons, checklists, and reminders come from AI. Send, price, sign, hire, and commit stay with a person.
I never let AI submit a proposal. I never let AI send an email. I review. I decide.
Lesson 04

GIVE IT ACCESS

To make this useful you have to connect AI to your information and to the platforms you already pay for.

I have a bunch of stuff going on in my life on the ministry side and on the business side. On the ministry side I have an Obsidian vault with about 12,000 files. On the business side I have a folder with 98,000 files. I use Obsidian to index all of that so the AI can search it fast. All of this is on my computer. It is backed up twice. I give AI access to it.

AI has access to all of my meeting notes. Every meeting I am in. Even some of the meetings I am not in. People on my team invite my meeting note taker. I use Otter. I do not use Granola. Granola does not give you a full transcript. Otter does. Otter puts a full transcript in my Obsidian folder. Then it sorts it. If I am recording a sermon or a Bible study, it puts it in the ministry vault. If it is work, it puts it in the work vault. Automated. I do not have to touch it.

Every proposal we have ever written. All of our slides. All of our capability statements. It has access. Then we connect it to Monday.com so it has our pipeline, our programs, the status of the programs. It has QuickBooks. Email. Calendar. Now it can prepare me. I can spin up agents. I can tell agents what to do. It has to have the information first. Then it prepares. I still make the decisions.

Lesson 05

FOUR LEVELS

Chat. Collaborate. Delegate. Automate. Most owners are at Chat. Inspired runs at Automate.

A lot of people just do chat. You do not give it access to your information. It is very basic. It is almost a smart Google search. That is Chat.

You type a question. It answers from what you typed. One answer. Most owners are here.

Collaborate
You give it your company file, your documents, your examples. It answers from your material. Consistent answers.

Delegate
You give it things to do. Every Monday do this. Go into QuickBooks. Come back with a report. Current work.

Automate
It runs on a schedule. I do not even have to ask. Inspired runs here. A business that runs.

Delegate is: go into QuickBooks, do these things, come back and give me a report. Fully automated is going to do it on a schedule. I do not even have to ask it. That is where you want to get if you have a business.

Lesson 06

ONE-PAGE COMPANY FILE AND VOICE

Who are you from a business perspective. Who do you serve. How do you communicate. Then it stops guessing.

We feed information in. We have our AI read our LinkedIn posts. We have our AI read our website. We have our AI read our slides. That is how we communicate about our business.

If it is how I talk personally, I have my AI read 100 sent messages from my work email. Real messages. Not a one-line sentence. Real messages. It reads 100. It comes back and says, Rick, this is how I think you talk. Then it writes email messages for me and puts them in draft. I go in and I tweak them. A lot of times I do not have to do anything but hit send. It knows the way I talk.

It knows the people in our company. We feed it a people.md file so that it knows if I say email Desi, email Karen, email Isabella. It knows who these people are. It knows what their jobs are. It knows their email. It knows their phone number. We give it rules. We give it lots of information. That is what makes it useful.

Legal name. What we sell. Who buys it. The three things we are known for. Hand it to AI every time.
VOICE
100 real work emails
Not one-line sentences. Real messages. Then it drafts in my voice. I still hit send.
PEOPLE.MD
Desi. Karen. Isabella.
Names. Titles. Jobs. Email. Phone. So it stops asking who Karen is.
THE RULES
Never send. Never price.
Never promise a date. Always show the source. Always mark what you are not sure of. I still decide.

Lesson 07

90 PAGES. ABOUT $20 A MONTH.

This just happened to me this past week. I used Codex. I let it run overnight. I reviewed. I did not build the pages.

I have virtual assistants in India. They do work for me on the podcast for Today's Word. After I post a YouTube video they run a few manual processes so I do not have to. They have been doing that for me for over 10 years. I could do it with AI. I have been letting them do it.

My todaysword.org website was old. It was running slow. I had a dedicated server. It was expensive. It was bogging down. The database kept crashing. I wanted to migrate it over to Wix. Wix does not have a good way to move that much. Wix will let you move like 50 blog posts. I had almost 3,600. I also had 90 pages. Wix could not migrate all of that automatically.

I paid these people. I asked how much. It was close to $5,000 to do everything. They tried to say they signed up for $5,000 to do the 3,600 posts. No. I said $5,000 to do the whole website. That is 90 pages they needed to do. They were debating with me. I got upset. I said fine. I am going to do it myself. I am never going to use you guys again. I am not going to pay you for the 90 pages.

I opened Codex. ChatGPT's AI. I used my Codex account. I opened a browser to the old website and logged in to the WordPress admin. I opened the Wix admin on another tab. I told it the situation. These people want to charge me all this money. I do not want to do it. Copy these 90 pages. Create them over here. Copy the menu. Move it over.

The AI said it was going to take four to six hours. I let it run. I went to sleep. I left the computer on. When I woke up it said it was done. I started checking the pages. A lot of the pages were partially done. All of the information was not on the pages. I said, did you have a QA person check this? It said it apologized. The data was clipping. They knew what to do. I said fix it. It said another four to six hours. I said go ahead. It did it. Now it is done. I migrated the website. I changed the domain.

In less than 24 hours, a $20 a month subscription of Codex did something these people wanted to charge me $2,000 for.

Bottom line. In less than 24 hours, a $20 a month subscription of Codex ChatGPT did something for me that these people wanted to charge me $2,000 for. I got it done for 20 bucks. I reviewed the pages. I did not build them.

Lesson 08

TEXTS TO MY PHONE

Claude every day. Grokbot specialists. One job per bot. I log in the first time. It does not get the password from me.

I use Claude every day. Sometimes I use ChatGPT. Claude is what I use every day. If we have a bunch of proposals submitted, every morning it sends me a prayer list. 6:30am. Every deal we are praying over. The customer. The date. What it adds up to if we win it all. I take that prayer list and I forward it to the three leaders of our company along with myself. The four of us know what to pray about today. It goes straight into my iMessage.

I also get task pings. If I say do these slides and I go upstairs to get a cup of coffee, if it finishes while I am away from the computer I get a text. Your slides are done. Or I get a decision queue. Three things you need to decide on. I respond by number. Wait. Yes. No. I text it right back from iMessage. I can also do this with Telegram. I can also do this with WhatsApp. Nothing reaches my team, a customer, or a partner without my thumb on it.

While I was talking about this, one of them asked me about Grokbot. Grokbot is from xAI. Owned by Elon Musk. I walked them through it. I have a chief of staff. Then I have a bunch of other agents. You create specific individual bots. You give them specific tasks. That is it. This bot only does this one thing. The chief of staff coordinates everything.

I have a bot because my son plays travel soccer. I was out at the soccer field when I recorded this. This bot does nothing but soccer. We have a soccer app and a soccer website we have to log into for our team. Grokbot has a virtual machine. A dedicated computer for your account that runs in California. I log in. I do not give it the username and password. It opens the computer. It lets you log in. Then it saves it. After you do it the first time, it logs in for you. It checks every day. Practice. Games. Uniform. Time. If there is a game this weekend it texts the WhatsApp group it created for me, my son, and my wife. Address. Drive time. When to leave. Uniform colors. That is its only job.

What stays with meForwarding the prayer list. Every answer in the decision queue. I log in the first time. It does not get the password from me.
Lesson 09

FRIDAY CLOSEOUT

5pm. Hours of work in about 10 minutes. Friday never sends.

I really like the end of week closeout skill I created. On Fridays at 5pm it runs. Every meeting we have is recorded. All the meeting notes are already in the folder. At 5pm on Fridays it goes through every meeting I had this week and every meeting my meeting note taker recorded. It looks at all the emails I sent and all the emails I received. It looks at all the proposals we submitted. All the RFIs we submitted. Everything we won. Everything we did not win. It takes a look at anything that is incomplete. Anything we need to get ready for next week. Then it drafts an email to the top three people in my cell. This is my update to them on Friday night. They get an email from me that recaps the whole week.

This is super useful. This prepares me for Monday morning. This is hours worth of work that it does in about 10 minutes every Friday night.

Friday reads everything. Friday never sends.
What stays with meReading the recap. Pressing send. Every decision the week surfaced. The draft sits until I send it.
Lesson 10

PERSONAL BOARD OF ADVISORS

Daily, one person. End of week, five. Digital persona. Not the real person. Never fabricate quotes. Never flatter.

I have a personal board of advisors. I broke it up into faith, faith-driven entrepreneurs, founders and innovators, and government contract people. Every day my AI picks one of these people.

The way I set this up: go out to the internet. Find everything you can find about these people that is public. Every book they wrote that is public. Every article they wrote that is public. Every speech they have given. Everything they have on YouTube that you can copy the transcript. Ingest all the information you can about T.D. Jakes, Bill Winston, Myles Munroe, Tony Evans, Creflo Dollar. Then the faith-driven entrepreneurs. Then the founders. Then the govcon people. Once you have that, have them review what I did this week.

Every day I get one of these giving me a little feedback. Sometimes good. Sometimes not. You did not do this right. You did not price this right. I would not do this. At the end of the week it picks five of them to give me some feedback.

If we made a decision to take care of one of our people, even though legally we did not have to pay them, but we are going to pay them because that is the right thing to do, then a T.D. Jakes or a David Steward will send me a note on Friday night. The digital person. You chose to do the right thing. You honored God. You went above and beyond. Of course this is digital. It is not the real person. It is their digital persona giving me direct feedback. I like it. I like it a lot.

Lesson 11

TEN WORKFLOWS

From the slides. How it used to go. How it runs now. What stays with you. You still send. You still price. You still sign. You still hire.

These are examples of things you can automate. Legal. Insurance. Finance. Sales. I am going to give you the slides. Go through them. Ask me questions.

Finance and QuickBooks

Used to: You open QuickBooks when something feels wrong, not on a schedule. Past-due invoices get chased when cash gets tight.

Now: Every Monday a one-page briefing is waiting. Cash in. Cash out. Why. Every invoice more than 30 days out is listed with a reminder already drafted.

What stays with youEvery reminder that goes out. Every spending decision. Checking a number before it leaves the building. You still send.

Sales

Used to: You skim the last email in the car on the way to the meeting. The follow-up gets written three days later, if at all.

Now: A one-page brief lands the morning of the call. History, open promises, three questions to ask. The follow-up is drafted before you reach the parking lot.

What stays with youPressing send on every email. Pricing, discounts, and commitments. The relationship itself. You still send. You still price.

Bids, quotes, and proposals

Used to: Someone reads the 80-page solicitation once and highlights it. A requirement on page 61 gets missed because a human was tired at 11pm.

Now: AI extracts every requirement, deadline, and form into a matrix the first hour. A bid or no-bid summary comes back before anyone spends a week writing.

What stays with youBid or no-bid. The price. Every claim about your company. The signature and the submission. You still price. You still sign.

HR and hiring

Used to: The job posting is the one from 2019 with the title changed. Every interviewer asks different questions and scores from memory.

Now: An updated posting, an interview guide, and a scorecard come back in one pass. Every candidate gets the same six questions and the same 1 to 5 scale.

What stays with youThe hiring decision, every time. Pay and benefits. Any conversation about performance. You still hire.

NDAs and contracts

Used to: You read the first three pages and the signature block. The auto-renewal clause is discovered when the invoice arrives.

Now: AI reads every clause and returns a plain-language summary with section numbers. Every place the contract differs from your standard terms is listed, with the business risk.

What stays with youWhether to sign. Every negotiation position. Legal advice, from a licensed attorney. You still sign.

Insurance and compliance

Used to: The insurance section of the contract gets initialed without being read. Nobody reads the endorsements until there is a claim.

Now: AI pulls every required coverage, limit, and endorsement out of the contract. It lays them next to what you actually carry and marks each gap.

What stays with youCoverage decisions and purchases. What gets promised to a customer. AI finds the gap. Your broker closes it.

Meeting to execution

Used to: The meeting ends and everyone remembers a different version. Commitments are made out loud and lost by Thursday.

Now: Formatted notes with decisions, owners, and deadlines land within the hour. Follow-up emails are drafted. Tasks are created on the board with names and dates.

What stays with youSending the follow-ups. Reassigning or cancelling a commitment. Closing an item as done. You still send.

Procedures and training

Used to: The process lives in your best person's head. New hires learn by shadowing for a month. When that person is out, the work stops.

Now: A 15-minute screen recording becomes a step-by-step procedure the same afternoon. Prerequisites, exceptions, and a quality check at each handoff are written in.

What stays with youApproving the procedure as the standard. Deciding what quality means. Training and certifying people.

Customer service

Used to: Every message waits for the one person who knows the answer. Urgent and routine sit in the same inbox in the order they arrived.

Now: Every incoming message is classified by subject and urgency. A reply is drafted from your approved policies, queued for a person to read and send.

What stays with youRefunds, credits, and exceptions. Any commitment to a customer. Upset customers and sensitive issues. You still send.

Marketing and content

Used to: Content gets written when there is a gap in the day, so it does not get written. The posts that do go out sound like everyone else's AI.

Now: Record one 20-minute talk. AI pulls the ideas and quotes and writes each format in your voice. You approve each piece. Nothing gets invented.

What stays with youApproving every piece before it publishes. Any claim about results, customers, or numbers. The voice itself.
